[2012 Event] Preference in Site
So if I tell you $30.00 for a Friday/Saturday/Sunday event game, what would you expect from that $30.00 in regards to...
1. Play Time (How many Hours a day?)
2. Location (Distance willing to travel?)
3. Hotel Cost (How much you'd be willing to shell out for crashing)
4. Local stores (Scale of resteraunts, Movie theaters, Wal-Mart, etc.)

As an important reminder, if you're planning on comparing cost to NonKlaive understand that their event is a joint effort of at least 5 separate games and 3 separate genres (Garou, Sabbat, Camarilla). Camp Site Rentals rock out about $1700.00 a day typically.

Having an idea of the four items, I can better gauge locations and meeting space. For example....
Location 1: A roomy lodge with plenty of wilderness around it, a wood burning fireplace inside, private bathrooms, and will not be disturbed by norms. However no overnight option and closes at 10:30PM. The closest hotels about 15-20 minutes away and rooms going $60.00 - $70.00/night average. Price will include site access, snacks, drinks. The site itself is about 40 minutes away from Cleveland. Game will run for 7 hours a day on Friday, Saturday, and Sunday. Excess from this event will go towards a 2013 event.
Location 2: Rural area. 4 story house. 3 fireplaces, 7 bedrooms, sleeps 30. Closest hotels are about 10 minutes away and are mid-price ranged (50-70 a night). There's overnight options. There is tiered pricing. $70.00 a person gets you the event and one of the sleeping spots of the house. $30.00 a person gets you the event and fend-for-yourself hotel room. Game would start on Friday afternoon/evening and run until Sunday afternoon. Depending on turn out there may be refreshments present. Excess from this event goes towards a 2013 event.
Location 3: Hotel. We negotiate a price for a room at the hotel. You get the hotel room yourself. We play at the hotel Friday, Saturday and Sunday. Refreshments/Snacks may be available. The location of the game space is dependent on how much in donations we receive. There'll be no game fee, but we'll accept donations at the door if you feel inclined to do such. Funds donated at this event will go towards a 2013 event.

I'm all about location 1. Lodge with lots of wilderness sounds perfect for the setting. Also keeping in mind that we won't be doing the event during the winter. If we were I might change my vote..

In regards to excess of 30 on location 2:
1. There are hotels within 5-10 minutes driving (no longer than nonklaive driving) that are extremely reasonably priced.
2. For those that actually enjoy camping, it includes over an acre of land that you can tent camp on. We're thinking of a tiered $45.00 price for this option because you also get run of indoor kitchen, bathrooms and showers if you do this.
In Regards to Location 1:
We lose control over what happens to the property after 10pm EST. This means decorating plots will be grinding to a halt rather abruptly. One of the factors of event games that seems to be enjoyed is the soft RP that happens after a "game off" is called for the day. On the up side, this option provides us with the ability to offer drinks/snacks on Friday, Saturday and Sunday.

Players can manage to bring in snacks and drinks, I'm sure. (One of our players already provides water and soda at each game he attends, out of the goodness of his heart.) Let's not have that as a deal-breaker, I say.

Read the choices, and apparently this was what my brain wrapped itself around. Location 2 apparently means rather than 7 hours a day, we'd get one massive game from Friday afternoon/evening that would run until Sunday afternoon... We game Heartland for 48 hours!!! XD Vote Location 2! lol

How far away are these places from Cleveland? That's my biggest concern. Having to pay for hotel space for a local event is a big turn off for me. I mean, descriptions are great and all, but I'd really like to know addresses as well.

Location 2 sounds good, and really for the extra money you get a sleeping spot instead of having to spring separately for a hotel. It's a good buy for those coming in out of the area for the event game, or those who don't want to deal with the one hour drive from Cleveland. I drive about that far on the weekends to come up to Vega anyways so I don't mind the distance.

With that in mind Lauren and I have to put our votes in for Location 1. We can't see spending $140 (plus whatever food we may need) for a local event game for two. The $30 price point is consistent with other event games, but our feeling is that local should mean an easy option to sleep at home at night.
Unless-
Option 2 does in fact have a cheaper outdoor camping rate (with the ability to have fires, since fall nights/mornings are going to be cold as hell). If this option is reasonably priced (Average tent camping rates are $20-$35 a night), and we are allowed small fires to keep warm, we may change our vote.
